A Guide to Hotel Key Cards
Hotel key cards provide guests with convenient access to their rooms while helping hotels manage security and daily operations. Choosing the right card depends on the property's electronic door lock system, card technology, material, and printing requirements. Custom printed hotel key cards also provide an opportunity to display hotel branding, guest information, and advertising.
Magnetic Stripe Key Cards
Magnetic stripe hotel key cards store information on a magnetic strip located on the back of the card. Guests insert or swipe the card through a compatible electronic door lock to gain access. These cards are available in front-load and top-load configurations, depending on how the card enters the lock reader.
RFID Hotel Key Cards
RFID (Radio Frequency Identification) key cards use contactless technology to communicate with compatible electronic door locks. Guests hold the card near the reader instead of inserting it. RFID cards contain an embedded chip and antenna, and different hotel lock systems require specific chip types and operating frequencies.
Smart Cards with Chips
Hotel smart cards contain integrated circuits that communicate with compatible readers. Some use contactless RFID technology, including MIFARE-based systems. Chip selection, memory capacity, and security features must match the hotel's access control equipment.
Wood Hotel Key Cards
Wood hotel key cards provide an alternative to traditional plastic cards while incorporating RFID technology for compatible electronic locks. Custom engraved logos and natural wood finishes make them suitable for boutique hotels, resorts, and properties looking for a distinctive presentation.

Choosing the Right Card Technology
Hotel key cards are not universally compatible with electronic door locks. Before ordering replacement cards, confirm the lock manufacturer, model, and required credential technology.
Magnetic stripe systems may require a specific stripe coercivity and encoding format. RFID systems require the correct operating frequency, chip type, and supported communication protocol. Common contactless technologies include 13.56 MHz RFID systems, but cards operating at the same frequency are not necessarily interchangeable.
Hotels should confirm compatibility with their door lock supplier before purchasing large quantities. An approved sample card can help verify that the card can be programmed and read correctly using the property's existing equipment.
Custom Printing and Hotel Branding
Custom printed hotel key cards give hotels an opportunity to reinforce their identity each time guests enter their rooms. Full-color printing can include hotel logos, photographs, brand colors, websites, and contact information.
The front of the card typically displays the hotel name and artwork. The reverse can include guest instructions, checkout information, Wi-Fi details, or promotions for restaurants, spas, and other hotel amenities.
Hotel key cards can also carry paid advertising for local restaurants, attractions, transportation services, and nearby businesses. This provides advertising space on an item guests frequently carry throughout their stay.
Card Size, Material, and Thickness
Most hotel key cards use the standard CR80 format, measuring 3-3/8" wide by 2-1/8" tall, approximately the size of a credit card. A common thickness is 30 mil, or 0.030", although the required thickness and material should be confirmed for the lock system.
Traditional hotel key cards are generally manufactured from durable plastic or laminated synthetic materials designed for repeated handling. RFID cards contain an embedded antenna and chip, while magnetic stripe cards have a magnetic recording strip applied to the card surface.
Card construction and thickness can affect how smoothly a card enters a reader, making it important to select the proper specifications for the existing equipment.
Designing Your Hotel Key Cards
Hotel key card artwork should be easy to recognize and consistent with the property's branding. Use clear logos, readable text, and colors that complement the hotel's overall design.
For full-bleed printing, extend background artwork approximately 1/8" beyond the finished trim. Keep important text and logos at least 1/8" inside the card edges. Magnetic stripes, embedded electronics, and other functional areas must be considered when positioning artwork.
Hotel key card sleeves can complement the printed card by providing additional space for room numbers, guest information, checkout instructions, and hotel contact details. Room numbers are generally better written on a separate sleeve rather than permanently printed on reusable cards.
Printing and Production
Online River offers custom hotel key card printing for properties ranging from independent hotels to larger hospitality operations. Full-color printing allows detailed logos, photographs, and promotional artwork to be reproduced on compatible card materials.
Printing methods and finishing options depend on the selected card construction and technology. Magnetic stripes and RFID components must remain functional throughout production, and card specifications should be established before printing begins.
For replacement cards or new hotel lock installations, confirming the required technology and approving the artwork before production helps avoid compatibility problems and ensures consistent results.
